The role

Join our School of Medicine as a key School Administrator, providing support and a first point of contact for our Student Support function, as well as general support to academic staff in the Faculty’s newest School. You will play a crucial role in ensuring our medical students receive the care and guidance they need throughout their educational journey.

In this dynamic role, you will be the welcoming face of our Student Support team, providing empathic assistance with student enquiries and concerns while coordinating appropriate signposting to both internal and external support resources. You will maintain the Student Support email inbox, attend initial meetings with students, and manage routine enquiries to ensure seamless access to support services. Your organisational skills will be essential in planning, organising and co-delivering wellbeing events and initiatives, while maintaining knowledge of marginalisation issues to help ensure our medical school environment is inclusive and welcoming.

You will coordinate the onboarding of new academic staff, liaising with IT and HR departments to facilitate system access and providing signposting to relevant support services. Working closely with academic staff, you will organise and provide full administrative support for internal and external meetings and committees, including preparing agendas, distributing papers, taking accurate minutes, and tracking action items. You will also assist with GMC accreditation and making arrangements for annual panel visits.

About you

The successful candidate will need to demonstrate excellent interpersonal and organisational abilities, with a strong customer focus and understanding of what students, academic staff and external stakeholders require. The role requires a proactive individual who is open to change and is committed to continuous improvement.

You will have previous experience working in a relevant administrative role, with excellent IT skills including MS Office, Teams and SharePoint, along with the ability and willingness to learn bespoke software systems. Experience of minute taking, working to tight deadlines and diary management using MS Outlook is essential. The role demands a high degree of accuracy, attention to detail, and the ability to handle sensitive information in a confidential manner.

During the induction and training period, attendance in the office (Manor Park Campus) will be expected for the first 3-months (maximum), after which hybrid working will be negotiable with a minimum of 3 days in the office.
