An exciting opportunity has arisen for an experienced executive administrator to join the Vice-Chancellor’s Office to provide maternity cover for our Executive Office Assistant. The successful candidate will have previous experience in a similar role and be an organised and articulate individual with a positive and enthusiastic attitude.

Executive Office Assistant Responsibilities:

  • Secretarial and administrative support to the Chief Operating Officer and Director of Strategy including arranging and supporting meetings - booking of rooms, travel and accommodation, preparation of documents and follow up
  • Minute taking
  • Diary management
  • Arranging VIP visits for the Vice-Chancellor.
  • Management of the VC’s Awards process.
  • Co-ordinating the VIP element of graduation ceremonies in April and July (liaising with Honorary Graduands, Guest Speakers and the Platform Party), and attending each ceremony.
  • Provision of general office support: stationery orders, distribution of mail.
  • Holiday cover for the EA to the VC

Executive Assistant Requirements:

  • Previous experience as an Executive Administrator
  • Strong understanding of Office Suite – Outlook, Word, Excel with knowledge of Powerpoint.
  • Professional, articulate and organised
  • Excellent communication skills
  • Confidentiality, discretion, tact and diplomacy.

The work is varied and at times unpredictable and as such the role requires someone with strong emotional intelligence and communication skills who is an excellent planner and organiser.  The unpredictable nature of the work means that at times there are significant peaks in workload, so an ability to keep calm and effective when working under pressure to tight deadlines will be important.  Comfortable working with a high degree of independence, you will also have well developed analytical and numeracy skills.  You will be required to service high level committees and meetings, so sound grammar and proven written skills, with an ability to ensure accuracy in all communications will also be key attributes.  You will regularly come into contact with highly confidential and sensitive issues, therefore a high level of confidentiality and discretion is essential.
